Holy Name Catholic School is seeking a talented, friendly, and organized Executive Assistant to the Principal. This position is a part-time, 30 hours per week school-year employee working from the beginning of August to the end of June with July off.

This individual will be expected to handle a multitude of tasks including but not limited to answering and making calls, responding to e-mails, assisting the principal with scheduling, ordering, prioritizing tasks, preparing events and meeting materials, taking and typing minutes for various meetings, and meeting deadlines. The Executive Assistant will be responsible for filling out required paperwork from the State of Michigan and the Michigan Association of Non-public Schools. The Executive Assistant will attend all school council meetings and serve as recording secretary. The Executive Assistant may also attend other meetings as requested by the principal. The Executive Assistant will help the principal manage calendar, appointments, events, special anniversaries, setup meetings and tours. The Executive Assistant will handle required new-hire paperwork, setup background checks and manage personnel files.

People skills and computer skills are essential. Candidate must uphold professionalism, confidentiality, and friendliness in all situations. Working in a school office is fast-paced and can be very busy at times. The Executive Assistant must be able to prioritize tasks and limit distractions. The Executive Assistant will work closely with the office manager, receptionist, alumni director, finance coordinator, and other staff members as necessitated.

The Executive Assistant must have a goal of supporting the principal daily to allow the principal time to be free to interact, support, observe staff and students. The goal is to allow the principal more time to develop relationships with parents, students and benefactors. The Executive Assistant must work hard to represent the principal well in all matters.

Typical hours will be Monday -Friday from 8:30-3:00pm. There may be occasional after school responsibilities in addition to the school council meetings. The candidate also must complete the necessary background checks, fingerprinting, and be VIRTUS trained.
