Business Manager Job Posting

Holy Name Catholic School seeks a detailed full-time Business Manager for their preschool through 12th grade school. The Business Manager would: perform bookkeeping functions; coordinate the budget process; manage payroll, accounts payable, and general ledger accounting; apply for and manage grants; handle human resource (HR) matters; prepare reports for the State of Michigan, Diocese of Marquette, School Council, and our accreditation body; ensure compliance with school legal obligations; and work closely with the principal and other administrative staff on identified strategic priorities. The Business Manager must support the mission of Holy Name Catholic School. Hours are Monday-Friday 8:00am to 4:00pm with periodic after-school meetings and training.

RESPONSIBILITIES

  • Financial: maintain all general ledger and accounting records; process payroll and accounts payable; prepare checks; post receipts and disbursements to the general fund; reconcile bank statements; apply for and process grant money; oversee tuition and scholarship processes; maintain scholarship records; record all parish assessments and third-source income; coordinate the budget process; prepare periodic financial and management reports; follow all internal controls
  • Human Resources: on-board new employees, including arranging for fingerprint-based background checks; maintain personnel records; oversee implementation of personnel policies; ensure school-wide compliance with diocesan Safe Environment Policy (VIRTUS)
  • Reporting: prepare and submit various reports required by the State of Michigan, Diocese of Marquette, and School Council, including annual Non-Public School Membership and Personnel Reports to the Michigan Student Data System (MSDS), student data collections to the Center for Educational Performance and Information (CEPI), school-wide information to the National Catholic Education Association (NCEA), regular hot lunch reports to the State of Michigan for the National School Lunch Program (NSLP), immunization records to the Michigan Care Improvement Registry (MCIR), and monthly financial reports to School Council, and any other database management system required by the diocese or State of Michigan.
  • Accreditation & General Compliance: coordinate and prepare annual accreditation reports to Michigan Non-Public School Accrediting Association (MNSAA); ensure compliance with various school legal obligations, including employee hiring, employee training, school calendar , emergency drills, and preschool licensing
  • Strategic Priorities & School Committees: meet regularly with the principal and leadership team on implementing identified strategic priorities; schedule, attend, and take minutes at various committee meetings, including School Council and Scholarship & Endowment Boards

COMPENSATION starting wage approximately $48,000 per year (based on experience) with up to 85% premium paid single health insurance, retirement benefits, and heavily discounted tuition for children to attend Holy Name.

SCHEDULE This is a non-contracted full-time position, year-round from July 1 to June 30. Hours are Monday-Friday, 8:00 AM to 4:00 PM, with periodic after-school meetings and training.

QUALIFICATIONS

  • Minimum of a Bachelor’s Degree in business, accounting, and/or human resources
  • Self-motivated with the ability to work with little supervision.
  • Experienced working in an office environment.’
  • Excellent communication and bookkeeping skills.
  • Detail oriented.
  • Proficiency in computer-based accounting applications and Microsoft Office applications, especially Microsoft Excel.
  • Practicing Catholic preferred.
  • The candidate must complete a fingerprint scan, a federally mandated background check, and VIRTUS training and the affiliated background check through the Diocese of Marquette.

Director of Advancement – (50% FTE)

Fund Development

  • Responsible for meeting an annual fundraising goal to support the general needs budget
  • Responsible for the tactical planning and oversight, management, and implementation of all fundraising initiatives
  • Plan, manage, and implement annual giving, major gifts, and events (including, but not limited to, prospect identification and research, cultivation, solicitation, gift processing, acknowledgments, and stewardship)
  • Draft annual and special appeals to build individual giving base
  • Assist with the growth of the endowment fund
  • Work to create and support a culture of philanthropy in the alumni, greater parish and school community

Planning & Reporting

  • Responsible for the planning, management, and implementation of all aspects of a comprehensive advancement plan (including, fundraising, enrollment, marketing, and alumni development initiatives)
  • Strategize regarding and implement efforts to secure new and untapped financial resources
  • Work to create and support a culture of philanthropy within the greater parish, school community, and the alumni

Governance and Strategic Planning

  • Promote understanding, acceptance, and support of the vision and mission statements, and objectives of the school
  • Serve on the Leadership Team and help lead implementation of Advancement elements of the Strategic Plan
  • Set priorities to meet annual goals

Constituent Relations

  • Building relationships with the three contributing parishes
  • Actively communicate updates and needs related to fundraising to the Council
  • Continue to build an alumni network
  • Seek third-party recognitions, grants, special funding, etc.

Operations

  • Database planning, including data acquisition and management
  • Oversee staff/department in database management, as it relates to enrollment management, development, alumni, and marketing
  • General office processes and procedures
  • Other duties as assigned by the Principal

Team/Department Management

  • Supervise and support the Advancement Team
  • Oversee each team member’s annual review/performance evaluation, goals, etc. aligned with Holy Name HR policies, procedures, and best practices

QUALIFICATIONS

  • Prior professional experience in marketing, communications, alumni, fundraising, and event planning
  • Background in Catholic School environment preferred
  • Prior to hire, must complete requirements from the Diocese of Marquette Office of Safe Environment, including VIRTUS training and background check

PHYSICAL REQUIREMENTS

  • Work is typically performed on-site, in an inside, temperature-controlled environment
  • Continuously requires vision, hearing, and communicating
  • Frequently requires fine dexterity, prolonged periods of sitting and working at a computer
  • Occasionally requires standing, walking, lifting, carrying, reaching, kneeling, pushing, pulling, bending, climbing, etc.
  • Must be able to lift up to 15 pounds at a time
  • Must be able to access and navigate all areas of the school and other facilities as needed
